Introduction
What is Green Shooting?
The production of film, television, and online/VoD content generates greenhouse gas emissions. However, various measures can be taken to reduce these emissions and make production processes more sustainable. Green Shooting thus refers to the sustainable and resource-efficient production of audiovisual content.
Since 2023, the Ecological Standards have formed the regulatory framework for green production methods in Germany. They were developed by the Green Shooting Working Group (which includes most German broadcasters, VoD services, production companies, and industry associations), the regional film funding institutions, the Federal Film Board (FFA), and the Federal Commissioner for Culture and the Media (BKM). They include a catalogue of measures that the participating production companies, broadcasters, and VoD services have committed to adhering to. The participating film funding institutions also make this voluntary commitment a requirement for the awarding of grants. Furthermore, compliance with the Ecological Standards is also enshrined in the Filmförderungsgesetz (FFG) and the FFA guidelines.
Why use a CO2 calculator?
A key aspect of the Ecological Standards is the carbon accounting for the entire production process. This is done in two steps: first, the expected CO2 emissions are determined before production begins (Preparatory Carbon Footprinting/TARGET data); after production is complete, the actual emissions are then calculated based on documentation and evidence (Subsequent Carbon Footprinting/ACTUAL data). This not only allows us to determine how many emissions the respective production has caused but also enables potential savings to be identified in advance, if applicable, so that emission-reducing measures can be taken.
Who is the Green Shooting Calculator for?
The Green Shooting Calculator is an important tool for production companies, television stations, VoD services, and film funding institutions.
First and foremost, carbon accounting is the responsibility of Green Consultants who have received appropriate training or further education. For them, the Green Shooting Calculator is the daily tool used to record production data, including electricity, heat, or fuel consumption, materials used, catering, and lodging.
In addition, the Green Shooting Calculator’s dashboard provides decision-makers at production companies, broadcasters, and film funding institutions with consolidated data analyses regarding emissions, broken down by genre, production method, or medium, among other factors.
What can the Green Shooting Calculator do?
The Green Shooting Calculator is a tool for tracking and reducing emissions from film, media, and TV productions. It allows users to enter all key production data and parameters, from electricity consumption in offices and studios to the type of catering and the total mileage of all vehicles. This makes it easy to quickly identify climate-related activities for each production phase. The calculator also facilitates collaboration with colleagues, business partners, and stakeholders: results can be compiled into a report and presented as key metrics for broadcasters, production companies, or film funding institutions, so that everyone benefits from improved outcomes based on insights from their own data archive.
Who developed the calculator, and where do the conversion factors come from?
The Green Shooting Calculator was developed by KlimAktiv in collaboration with MFG (Medien- und Filmgesellschaft Baden-Württemberg).
Greenhouse gas emissions are calculated by determining CO2 equivalents (expressed in kg CO2e) for all entered activities using conversion factors. The factors used in this calculator are derived from scientific studies, models, and KlimAktiv’s own calculations based on these sources. You can find the exact source for an activity’s factor and further background information by clicking the info button in the calculator.
What does this manual offer?
This manual serves as both a guide and a reference for the Green Shooting Calculator. The following documentation provides detailed explanations of all the calculator’s functions, supplemented by useful tips and advice. Please also refer to the Frequently Asked Questions (FAQ) page. Registration & Login
You can find the Green Shooting Calculator at https://go.greenshooting.de/en_GB/. If you already have login credentials, you can simply log in via “Login”. If you have forgotten your password, you can request a new password by entering your email address on the link below the “Login” form. If you do not yet have login credentials, you can either create a Demo Account or register for a free Professional Account. Access for companies or broadcasters is available upon request and based on an individual quote.
Professional Account
If you would like to sign up for a free Professional Account, simply click “Register”. Enter your email address, first and last name, and indicate whether you represent a broadcaster, a VoD provider, a production company, or a film funding organisation. To do so, click the corresponding button and select your organisation from the drop-down menu. If your organisation is not listed, please enter it in the “Company” field. In any case, fill out the “Position” field by specifying your role, such as “Green Consultant” or “Production Manager”. After answering the security question and accepting the Terms of Use and Privacy Policy, click “Submit”. After your data has been verified by the clearing centre, you will receive an email with your login credentials and an activation link to complete the registration.
Demo Account
If you choose a Demo Account, you can set your own password after entering your email address and your first and last name. After answering the security question and accepting the Terms of Use and Privacy Policy, click “Submit”. You will receive an email with an activation link to complete the registration. Demo access is valid for 30 days, and you can create a test production with a maximum of 10 activities. An existing Demo Account can be upgraded to a Professional Account later. To do so, please contact info@greenshooting.de.
Home
After logging in, you will see the Green Shooting Calculator user interface. On the home page, you will see various tiles containing information and links:
· Productions: Here you will see up to three info tiles, one each for your own productions, assigned productions, and those to which you have been invited to collaborate. All tiles have a small badge in the upper-right corner showing the number of productions in each category. Using the links under “Status”, you can jump directly to pre-filtered lists (In Progress/Completed/No Selection).
· Dashboard: If you have access to a dashboard, you will also see a corresponding tile here with a link to the dashboard.
· My Account: Here you will see a “My account data” tile with a link to the “My account” page. If you are the group admin of a company group, you will also see the “My group” tile with a corresponding link to group management.
· Right column: The “Reports” box shows how many reports you can still enable. Under “What’s new?” you will find a link to the changelog.
The menu bar at the top of the page displays the following options (from left to right):
· Home (House icon): Overview with information about your productions, links to pre-filtered lists, and, if applicable, a link to the Dashboard, account settings, and info boxes with additional details.
· Productions: A dropdown menu leads to the overview lists “My Productions”, “Assigned Productions”, and “Collaboration in productions”.
· Dashboard: You will only see this menu item if you are the group admin of a Corporate or Corporate Starter account or if you have been granted dashboard permissions by your group admin as part of a company group. See Dashboard.
· Your name and the email address associated with your account.
· Submenu with the person icon:
o “My account”: Here you can see the number of reports still available to you at the top. Below that, you can change your name and password. At the bottom, you’ll find the “Transfer productions” function; see “Transfer productions”.
o “My group”: You’ll only see this option if you’re the group admin of a company group. Here, you can manage the members of your group and grant them permissions (e.g. for the dashboard or report enabling); see Permissions.
o Log out: Here you can log out.
· Submenu with question mark icon: Here you’ll find links to the manual, the FAQ, and the changelog, as well as useful information on calculating CO₂ factors (“Background”), the Terms of Use, the Privacy Policy, and the Legal Notice.
Productions
The “My productions” list shows the productions you have created yourself. If you have been invited by others to collaborate on a production (see Permissions), these will appear in the “Collaboration in productions” list. If you are part of a company group and a group admin has enabled this feature for you, you will also see an “Assigned productions” list containing all productions assigned to your company group. All lists provide the most important data at a glance: date of last edit, title (including genre, production method, medium, type, and project number), year, status, and the emissions result of the TARGET and ACTUAL data, each in kg CO2e. To the left of the title, you’ll find a button to edit the Core data and a button that lets you jump directly to the report for that production (once the report has been enabled, the icon changes to a green one with a notched corner). To the right of the emission values, you will find a button that allows you to open the respective TARGET or ACTUAL data directly. At the far right of each row, you will find the three-dot menu, which you can use to copy or delete a production.
In the “Collaboration in productions” and “Assigned productions” lists, you will find the name and email address of the person who created the production. In the “Collaboration in productions” list, the edit buttons may be missing if you only have read-only access to a production. Next to the TARGET and ACTUAL emissions, a spectacles icon appears, which takes you directly to the respective data entry tabs. In the “Assigned productions” list, there are no edit or spectacles buttons; here, you can only jump directly to the report via the report button. As a group admin, you will also see a button on the far right that allows you to remove the assignment to your organisation.
Filter, Search, and Sorting
Using the filter button in the top-left corner, you can filter the lists by status, year, and type of production. There is also a search field available that allows you to quickly find productions using any search term (including title, genre, project number, date, year, status, emissions, and many more). Using the arrow icons in the header of the list, you can sort the activities in ascending or descending order by a specific criterion.
Create or Copy a Production
You can create a new production by clicking the “Create production” button in the top-right corner of the “My productions” page.
You can also copy an existing production by using the three-dot menu. This is useful, for example, for series productions or formats where the data for individual productions is very similar, as it provides you with a basic framework that you can then further edit. In addition to a new title and a new production year, you can choose whether to transfer assignments, collaborations, and TARGET and ACTUAL data.
Please note the following:
· All copied data is marked as such (highlighted in colour) in the new production until you edit it.
· If you change the production year, there may be slight discrepancies in the results of the new production (the calculation basis is updated annually).
· Detailed flight routes are not copied; they should be entered individually for each production.
· When you also copy assignments or collaborations, the read and write permissions are adopted for the new production.
Tip: To set up TARGET data based on the ACTUAL data from a previous production, copy only the ACTUAL data and perform a data transfer from ACTUAL to TARGET in the new production.
Delete Production
Using the three-dot menu, you can delete individual records or the entire production. To do this, click “Delete production”, and then choose whether you want to delete only the TARGET data, only the ACTUAL data, or both sets of data, and thus the entire production.
Transfer Production
Under “My account”, you’ll find the “Transfer productions” section, which allows you to transfer entire productions to other people. To do this, select the productions to be transferred by checking the corresponding boxes. Alternatively, you can use the checkmark icon in the header to select or deselect all productions at once. Then enter the email address of the person to whom the selected productions should be transferred at the bottom and finally click “Save”.
Please note the following:
· The new owner must be registered in the Green Shooting Calculator with the corresponding email address.
· Once you save, you will no longer be the owner of the transferred productions and will no longer be able to view or edit them. However, the new owner can invite you to collaborate via the “Permissions” tab.
· If the new owner previously had read or edit permissions for the production, these will be deleted.
· You cannot undo the transfer.
If you are a group admin, you can transfer individual group members’ productions to other members of your group. Under “My group”, click the “Edit” icon for a user. There, in the “Transfer productions” section, you can select the desired productions and then move them to another member of your group using the drop-down menu at the bottom.
Please note the following:
· The new owner must be a member of your group.
· After saving, the ownership of the transferred productions changes; they can no longer be viewed or edited by the previous owner unless your organisation has been assigned under “Permissions” and/or the previous owner possesses the corresponding rights.
· If the new owner previously had read or edit rights to the production, these will be deleted.
· If you want to transfer productions to external users (i.e., people who are not members of your group), the owner must perform the transfer themselves (or you must first transfer the production to yourself; this makes you the owner, and you can then complete the transfer under “My account”).
Core data
When you create a new production, the “Master data” page opens, which is divided into several sections. While some fields are optional, the more fields you fill out, the more meaningful the subsequent analysis in the dashboards will be. You can always return to this page at a later time to make changes.
Status
First, select whether this is a test production or not. After saving for the first time, the current status of the production will appear here.
Please note the following for test productions:
· Test productions cannot be converted to “normal” productions, copied, or completed.
· Assignments cannot be made in test productions (however, invitations to collaborate are possible).
Otherwise, please note:
· After the first save, the status is “In progress” and can be changed to “Completed”.
· Changing the status to “Completed” marks the production as a reliable data set for dashboard evaluations and reporting. All production details become read-only; collaborators with editing rights can still view them but can no longer edit them.
· Only the production owner can change the status and also revert this change. You should therefore only change the status to “Completed” once the entry of ACTUAL data is actually complete and you no longer wish to make any changes.
Production Title & Project Number
Assign a descriptive title, or a working title if necessary. You can change the title later. When you set the status to “Completed”, the title must be unique; that is, there must be no other production with the same title in the Green Shooting Calculator.
In the optional “Project number” field, you can enter a production number, ID, or other reference (e.g. PSP number). The project number is also displayed in the list of productions.
Report
Here you can enable the ACTUAL report for this production. After enabling it, you can create and download ACTUAL reports for this production (see Report). You will be shown how many reports you can still enable, or that your quota has already been used up and you can no longer enable any further reports. Activation can also be performed at a later time, optionally also on the “Report” page. Additionally, enabling can be performed by other individuals, such as a person invited to collaborate or the group admin of an assigned company.
Important: Once the report for a production has been enabled, this cannot be undone! You can also find further information on enabling reports in the FAQ.
Years
Enter the year of production, the year the funding decision was made, and the year of broadcast/performance. Please note that you cannot change the year of production once you have entered either TARGET or ACTUAL data! This is because KlimAktiv updates emission factors annually, and these factors are tied to a specific base year.
Genre, Production Method, Medium, Type
Select the genre, production method, medium, and type of production from the drop-down menus. Please select carefully and thoroughly, and fill in all four fields if possible! This information is very important for analyses in the dashboard!
Numerical Parameters
Enter the total length/duration; if there are multiple episodes, be sure to enter the sum! This figure is used to calculate “emissions per minute”, so you must specify the total duration of the episodes included in this data set.
Examples:
o A single 90-minute feature film: length = 90 min
o An entire series with 8 episodes, each 45 min long: length = 360 min
o A series has 26 episodes of 30 min each, but only one shooting block with 4 episodes is accounted for here: length = 120 min
The number of episodes (if you are recording multiple episodes or shooting blocks simultaneously in a single data entry) is for informational purposes only; this number is not multiplied by the duration!
Enter the number of shooting, construction, travel, and post-production days, if known.
If you know the total production costs, enter them here (in euros; only whole numbers without decimal points, commas, or thousands separators). Only the production owner can view or edit the production costs; however, the value is included in the “Emissions per Euro” analysis in the dashboard.
Funding & Comments
In the last section, you can specify who is funding the production and add a comment.
Once you have made all your changes, click “Save”.
Permissions
On the “Permissions” page, you can configure settings for assignments and collaboration.
Assignment
Here you can assign your production to one or more organisations: broadcasters/VoD services, production companies, and film funding institutions. Through an assignment
o the emissions of this production are included in the dashboard of the assigned organisations.
o the organisation gains access to the report (and can enable it if necessary).
Multiple assignments are possible, and assignments can be deleted at any time. The group admins of an assigned company can enable the production’s report if the company has a report quota.
Note: Please make assignments exclusively for real data and actual participations; never for test productions or without consulting the respective organisation! Always add your own company as well!
Collaboration
You can invite additional people to collaborate on your production. To do so, these collaborators must be registered users of the Green Shooting Calculator. To add a collaborator, enter their email address and select their permissions from the following three options:
· Read (report only): Collaborators can only view the report.
· Read (data and report): Collaborators can view the detailed TARGET and ACTUAL data in addition to the report.
· Edit: Collaborators can edit and add core and activity data, but they cannot copy or delete the whole production.
Only you can assign permissions for your production. You can change or delete the assigned permissions at any time. Once you have made all changes, click “Save”. People invited to collaborate can also enable the production report, provided they have a report quota.
TARGET data
TARGET data is typically entered before production begins. When you first access the “TARGET data” page after creating a new production, you can choose whether or not to use the simplified data entry method. This simplified calculation method covers a reduced scope of topics and is applicable in accordance with Criterion I.3 “Preparatory Carbon Footprinting” of the Ecological Standards (the following topics are omitted: Post-production: Film editing; Post-production: Sound editing; Post-production: Other; Dishes; Office supplies; Prop vehicles; Waste; Other). If you have opted for simplified TARGET data entry, this cannot be converted to detailed data entry at a later date (and vice versa).
If ACTUAL data has already been created for the production (for example, by copying another production) you can also import this as TARGET data here (see Create or Copy Production).
User Interface
The current total of emissions from the data already entered is always displayed below the title of your production. Next to it, you will see the current status of the production (“In progress”, “Completed”, or “Test production”). The interface of the CO2 calculator is based on the four sectors of the Ecological Standards: Energy, Travel/Transport, Catering, and Use of materials. These, in turn, are each divided into topics. You can add data by clicking on a topic (see Add activities).
The activities then appear as a list in the respective sector. In the list, you will find the following information and options from left to right:
· Date and time of last edit
· A button to edit the activity
· Topic, source, and description of the item
· Quantity and unit
· Emissions in kg CO2e
· An info button
· A button to delete the activity
Using the arrow icons in the header of the list, you can sort the activities in ascending or descending order by a specific criterion. You can also filter by search terms using the input fields under “Topic”, “Source”, and “Description”. Clicking the info button for an activity allows you to view additional information, including your notes on that activity, background information on the emissions calculation method, and data sources for the emission factors. You can delete activities using the “Delete” button; this action must be confirmed. Below the list, you will find a graphical representation of the emissions currently totalled for this sector, broken down by topic. Using the three-dot menu on the right, you can export the graph to various image or data formats (PNG, JPG, PDF; CSV, XLSX) or print it.
Add activities
Clicking on a topic opens the form for a new activity. Depending on the sector and topic, different details will be requested. First, select your source; this may cause the subsequent input fields to change. Enter any additional details there and then enter the respective quantity. Many topics offer the option to perform a generic calculation or make an estimate, which can be particularly helpful for TARGET data. The more details you provide, the more accurate the estimate will be. Also pay attention to the units! You can customise the “Description” field; this description will appear in the list of activities after saving. In the “Note” field, you can add further notes and comments. You can access your notes later via the info button.
Finally, click “Save”. The emissions from this activity will now be added to the total (at the top of the page) and the subtotals (Sector: below the list on the right; Topic: at the bottom of the graph).
Please note:
· You only need to select the activities that are relevant to your production!
· You can click on and add each activity as many times as you like. For example, if multiple vehicles were used for your production, add a separate “Passenger transport” activity for each vehicle.
Air travel
A special consideration when entering data is the section on air travel (under Travel/Transport). Here, you can choose between detailed or simplified entry. Please use the global data entry only in exceptional cases, when you do not have more specific information. After clicking “Detailed flights”, a new page will open where you can enter the departure and arrival airports (plus any stopovers) and provide details on the number of flights and passengers. First, enter the name of the city, the airport, or the IATA code of the departure and destination airports, and then click “continue”. You can then select the correct airports from the drop-down menus that appear in the input field. If a desired airport is not displayed, click “reset” and check the spelling if necessary.
As usual, you can also add a note when entering flights and assign a name to the flight or flights after clicking “continue”. Click “Use data”. If you do not enter a name, the flight route will automatically be inserted using IATA codes (e.g. “LHR – BER – LHR”).
Please note that when copying productions, the detailed flight routes are not included.
ACTUAL data
You create the ACTUAL data either after production has ended or in real time during production. Here, you record the emissions that actually occurred. Your entries should therefore be based on collected data or supporting documents. When you first open the “ACTUAL data” page, you can choose whether or not to transfer the activities from the TARGET data. If you transfer the activities, you already have an important foundation of data that you can supplement or modify based on your findings after production ends (collected documents, etc.). In this case, the values in the “Quantity” column are highlighted in colour for all transferred activities. This colour highlighting disappears as soon as you modify the transferred data. If you decide against transferring the data, you can also create the ACTUAL data from scratch. The structure and functionality of the “ACTUAL data” page are identical to those of the “TARGET data” page (see TARGET data). If you selected the simplified calculation method for the TARGET data, you will now find the full range of categories in the ACTUAL data (the following are added: Post-production: Film editing; Post-production: Sound editing; Post-production: Other; Dishes; Office supplies; Prop vehicles; Waste; Other).When entering ACTUAL data, please provide as accurate information as possible to ensure meaningful results. If this is not possible, you may also use generic calculations or estimates.
Report
On the “Report” page, you can view the overall results of your calculated emissions. You can also download the displayed results as a PDF report (which is often required as proof by broadcasters or film funding institutions). After entering your TARGET emissions, you can immediately view and download the TARGET report for free. To do so, click on “Only Target data” in the “Report” tab. To view the ACTUAL report and the comparative TARGET/ACTUAL report, you must first enable them.
To enable a report, you need a report quota. As an individual user, you can use your own quota for this purpose if you have purchased the appropriate production licences. If you are part of a group (company or organisation) with a Corporate or Corporate Starter Account, your group admin can also grant you permission to enable reports from the group quota. If you have assigned your production to one or more companies under “Permissions”, any group admin of those companies can also perform the enabling using the respective company’s own quota. People invited to collaborate can also enable a production’s report if they have a quota (or permission to use their organisation’s quota).
The enabling can be performed either directly under “Report” or, alternatively, in the production Core data.
Important: Once a production has been enabled, regardless of whose quota it was deducted from, the enabling cannot be undone! For more information on report enabling, please refer to the FAQ.
Viewing the Results
If the report has been enabled, you can choose whether to display TARGET and ACTUAL data, TARGET data only, or ACTUAL data only, depending on what you want your analysis or report to include. If the report has not been enabled, you can only view the results for the TARGET data. At the top of the page, the result of your data entry is summarised in a short sentence. Below that, you will find a summary of the production Core data as well as the base year for the calculation. Next, under “Result”, the total emissions are displayed, and under “List of results”, you will find a more detailed breakdown of emissions by sectors and topics, as well as a graphical representation in the form of a bar chart. Thanks to the dual listing in both kilograms and percentages, you can quickly identify which aspects of your production are responsible for the most emissions. This allows you to possibly reduce or avoid emissions after the TARGET data has been entered. At the bottom of the page, you will find additional information on the carbon calculator methodology, references to the data sources, and your user data (a list of all individuals and organisations that contributed to this production or to which it was assigned).
Download report
To download the report, click “Download” in the upper right corner. There, you can download the information displayed on this page as a PDF report or the entire dataset as a CSV file.
In accordance with Requirement I.5 “Final Report” of the Ecological Standards, productions are required to submit a standardised final report. This can be generated directly from the Green Shooting Calculator, provided the report has been enabled for this production. To do so, click on “Final reports” in the top right corner and then on “Edit”. A template will open that already contains the title of your production as well as the results of the preparatory and subsequent carbon footprinting (TARGET and ACTUAL data). Add further details in accordance with the requirements of the Ecological Standards and then click on “Save”. You will be returned to the “Report” page, where you can download your saved version as a PDF by clicking on “Final reports” again and then “Download”. The “Edit” option remains available to you. If applicable, various versions may be available under “Final reports”, e.g. 2023 and 2024, which are based on the currently valid Ecological Standards. Check which version applies to you (you can find more information at green-motion.org). Once you have enabled a report, you can continue to make changes to the TARGET or ACTUAL data entries and download updated reports as needed.
Dashboard
If you are the group admin of a company group with a Corporate or Corporate Starter account, or if you are a member of such a company group and have been authorised by a group admin, you will find the “Dashboard” in the menu bar of the calculator next to “Productions”. The dashboard provides you with various metrics and graphs regarding the productions assigned to your organisation. For example, as a production manager, you can see at a glance which genres or production processes cause the highest overall emissions in your company. To ensure that key metrics from productions are included in the dashboard, each production must be assigned to the corresponding company under “Permissions”, including your own!
The “Dashboard” page contains several sections:
Filter
Here you can choose whether the analysis should be based on ACTUAL or TARGET data. You can also filter the results by status, year of production, genre, medium, production method, and type. Once you have selected the desired options, click “Apply”. Clicking “Reset” resets all filter parameters to “All” and the data basis to Actual data.
KPIs
The second section neatly displays a series of key performance indicators (KPIs) for the selected criteria: the number of productions, the number of productions with the status “In progress” and/or “Completed” (depending on the filter), the total emissions of the productions in kg CO2e, emissions per minute, and emissions per Euro. For the last two KPIs, it is important that the duration and production costs of a production are correctly specified in the Core data!
Pie charts
This section presents the total CO2e emissions for all or selected productions in four pie charts: by genre, by production method, by medium, and by type. For example, in the “CO2e/GENRE” chart, the individual segments correspond to genres such as shows, fictional series, or feature films. Below the charts, you will find a legend with the emissions broken down in kilograms. Clicking on individual elements in the legend removes them from the chart; clicking again adds them back. In addition to the pie segments, emissions are also shown as percentages. To highlight individual segments, you can move them slightly forward by clicking on them (exploded view). Another click moves the segment back into the circle. When you hover your mouse over a segment, the emissions are also displayed in kg and as a percentage.
In the top right corner of each of the four charts, there is a three-dot menu that allows you to export (PNG, JPG, PDF; CSV, XLSX) or print the chart. Expanded (exploded) pie chart segments or removed elements are taken into account.
Emissions per year
This bar chart shows the CO2e emissions based on TARGET or ACTUAL data per year (year on the horizontal axis, kg CO2e on the vertical axis). Here, too, only the production data that meets the criteria selected in the first section are included. The bar chart can also be exported or printed via the three-dot menu in the upper-right corner.
Info
This manual refers to version 4.1 of the KlimAktiv Green Shooting Calculator. The calculator is continuously being updated, so its appearance or functions may have changed since this manual was published.
