FAQs about the Green Shooting Calculator

Accounts

Sign up here for a free Professional Account. Once your account has been approved by the clearing centre, you will receive an email with an activation link.

Using the Green Shooting Calculator is generally free! With a Professional Account, you can create an unlimited number of productions, calculate TARGET and ACTUAL data, assign projects to broadcasters/companies/funding institutions, invite collaborators, and create and download TARGET reports for free.

However, a paid licence may be required to unlock ACTUAL reports. You can either unlock the reports yourself or have them unlocked by clients or project partners whom you have previously added under “Permissions”. Some TV stations also use this option for commissioned productions.

For more information, see Licence Models.

With the demo account, you get 30 days of access and can create a test production with up to 10 activities.

Check your spam folder. If the email isn't there either, please contact info@greenshooting.de. An administrator can activate your account and notify you by email. You can then request a password by clicking “Forgotten your password?”.

Click “Forgotten your password?” below the login form, and you will receive a new password via email.

First, log in. Click the person icon in the top-right corner, then click “My account”. There you’ll find the option “Change My Password”.

Productions

After logging in, simply click the green “Create production” button. Fill in the Core data as completely as possible and save the production. You can then edit Permissions, enter TARGET and ACTUAL data, and create and download Reports.

In general, you can create an unlimited number of productions. (Exception: Only one production can be created in the demo account.)

In the production overview, click the three-dot menu on the right of an existing production and select “Copy production”. Follow the on-screen instructions, assign a new title, change the production year if necessary, and then select which permissions and data entries should be copied.

Notes:

·       Copying to a different production year may result in discrepancies in the results of the copied production, as emission factors are updated annually and are tied to a specific year.

·       Detailed flight routes are not transferred during the copying process.

Yes, this is possible, but it requires three steps:

1.      Copy the production and use only the ACTUAL data.

2.      Open the TARGET data of the new production and transfer the ACTUAL data there.

3.      Go back to the production overview. Delete the ACTUAL data for this production using “Delete production”.

You can delete a production in whole or in part using the corresponding three-dot menu. You can choose whether to delete only TARGET data, only ACTUAL data, or the entire production.

Under “My account”, in the “Transfer productions” section, you can transfer individual productions or all your productions to another person. That person must be registered in the Green Shooting Calculator. After the transfer, you are no longer the owner of the production and can no longer view or edit it. However, the new owner can invite you to collaborate on the production. You cannot undo the transfer.

Under “My group”, you can click the “Edit” icon next to a user's name to transfer their productions to other members of your group. The previous owner will no longer be able to view the production (unless they are subsequently invited to collaborate by the new owner).

You are the owner of all productions listed under “My productions”. It doesn’t matter whether you created the production or whether it was transferred to you by someone else.

Only the owner of a production can:

·       change the status,

·       view/edit the “Production costs” field,

·       manage permissions (assignments and collaboration).

As the owner, you can transfer the production to another person (under “My account”). Afterwards, you are no longer the owner and no longer have access to the production. If you are a member of a company group, the group admin can also transfer your productions to other group members.

Core data

Please fill out as many fields as you can. The more data you provide, the more detailed the analysis in the dashboard will be. If you don’t have a dashboard yourself but add other organisations that use a dashboard under “Permissions”, you should fill out as much as possible. You can also return to this page later and add any missing information.

You can find all questions and answers regarding report enabling under Reports.

Select the year in which the majority of the production phase takes place. The year of production determines the reference year for the emission factors. For future years, the current set of emission factors is always used; there is currently no provision for recalculation at a later date.

Select the medium for which the content is primarily produced. Alternatively, select the medium of the very first publication.

Enter the total duration; if there are multiple episodes, be sure to enter the sum! This number is used to calculate “emissions per minute”, so you must enter the total duration of the episodes included in this data set.

Examples:

·       A single 90-minute feature film: length = 90 min

·       An entire series with 8 episodes of 45 min each: lenght = 360 min

·       A series has 26 episodes of 30 min each, but only a 4-episode production block is included in this record: length = 120 min

Once production is complete – that is, once all activities have been recorded in the ACTUAL data and all required reports have been downloaded – you should set the status of the production to “Completed”. This marks the production as a reliable data set for dashboard analyses. It also makes the production read-only for all participants. Only the owner can change the status. If necessary, the status can also be reset to “In progress”.

When you change the status of a production to “Completed”, the production title must be unique across the entire system. A completed production is incorporated as a reliable data record into the dashboards of assigned organisations. A unique title is essential here for traceability. If a production with an identical title already exists, either details for further identification are missing (e.g. episode, block, or season) or the same production has already been entered by other users. The latter issue can only be resolved by clarifying responsibilities so that only one of the two versions can correctly be marked as “Completed” and considered representative.

If a production has been assigned to one or more organisations, those organisations can view the report and, by extension, most of the Core data. The same applies to individuals who have been invited to collaborate and have read permissions. Users with edit permissions can also modify the Core data. Only the owner of the production can view and edit the “Production costs” field.

Only the owner can see the amount in the “Production costs” field. The owner is the person who created the production or who received it from another user.

If you have assigned the production to an organisation under “Permissions”, the production costs are also included in the respective dashboard for the purpose of calculating “CO₂e per Euro”.

Permissions

Under “Permissions”, you can assign a production to one or more organisations: broadcasters/VoD services, production companies, or film funding institutions. By assigning a production:

·       the production’s emissions are included in the respective organisation’s dashboard.

·       the production appears in the “Assigned productions” list for the respective organisation.

·       the group admins of the respective organisation (or authorised members of the company group) can view and/or enable the report, provided the organisation has a licence. Broadcasters and production companies can also view the TARGET and ACTUAL data but cannot edit it.

Organisations do not have access to the “Permissions” page. A production can be assigned to any number of organisations; assignments can also be removed.

Important:

·       Please assign only real productions!

·       Do not assign test productions, examples, exercises, templates, etc.!

·       Always add your own organisation as well!

To add new companies or to edit or delete existing entries, please contact info@greenshooting.de. When you purchase a Corporate or Corporate Starter account, your company will be automatically added to the list.

Under “Permissions”, you can invite individual people to collaborate. To do this, enter their email address and select the permissions you wish to grant. The invited individuals must be registered in the Green Shooting Calculator. You can invite multiple people with different permissions. Invitations can be revoked.

When inviting someone to collaborate, you can choose from three different permission levels:

Read (Report Only): The user can only view the “Report” tab, download reports there, and, if necessary, enable the ACTUAL report (provided they have a licence).

Read (Data & Report): The user can also view the “TARGET data” and “ACTUAL data” tabs. Activities and information can be viewed but not edited or deleted.

Edit: The user can view and edit Core data as well as TARGET and ACTUAL data, and can view and, if necessary, enable the report.

Collaborators can never:

·       Manage permissions

·       Change the production status

·       View/edit production costs

Data Collection

The TARGET balance sheet is typically created before production begins and serves as a rough estimate of expected emissions. With the TARGET report you can already identify potential areas for reduction. After production, you create the ACTUAL balance sheet, which reflects the actual emissions. It is based on actual consumption data, which should be verifiable. It is possible to use the data from the TARGET balance sheet for the ACTUAL balance sheet.

It depends, but usually yes. The TARGET balance sheet may be a prerequisite for applying for film funding. Once funding has been approved, an ACTUAL balance sheet may also be a requirement for the payment of further instalments. Broadcasters also frequently require the submission of TARGET and ACTUAL balance sheets. It is possible to transfer the TARGET data to the ACTUAL recording. For copied  projects, you can also transfer ACTUAL data to TARGET data.

Simplified TARGET data collection is applicable in accordance with Criterion I.3 (“Preparatory Carbon Footprinting”) of the Ecological Standards. This is a streamlined data collection process that allows productions still in the planning phase to be quickly categorised based on their primary emission sources. The ACTUAL balance sheet covers all topics and should be filled out in as much detail as possible.

Under “TARGET data” or “ACTUAL data”, click on one of the four sectors (Energy, Travel/Transport, Catering, Use of materials) and then on one of the displayed topics. A window will open where you can select from several sources. Fill in all required fields and click “Save”. Repeat the process for all applicable activities.

No. Record only the activities that are relevant to your production. You can simply ignore topics that are not needed. For example, if you are not filming in a studio, you do not need to add any activities from that topic.

Yes, you can add all topics and sources as often as you like. To keep your records organised, it may be helpful, for example, to create a separate entry with a descriptive name for each vehicle, rather than grouping all vehicles into a single activity.

Reports

Creating and downloading TARGET reports has been free since 1st July 2024! A paid licence is still required for ACTUAL reports. However, ACTUAL reports can also be enabled by someone else (the client, invited users, etc.), so you may not need your own licence.

To create a report from your ACTUAL balance sheet, the report must first be enabled. This can be done either directly when creating a production or later under “Core data” or “Report”. Simply check the box next to “Enable”. Enabling cannot be undone! After enabling, changes can still be made to the production. You do not need to enable TARGET reports.

This means you currently have no report quota of your own for ACTUAL reports. However, you can still:

·       edit all productions as usual, enter data, and save them.

·       Create and download TARGET reports for free.

·       Have ACTUAL reports enabled by third parties (e.g. assigned broadcasters or invited person).

That depends on how or for whom you are producing. Always clarify first who will handle enabling the report before you purchase your own licence!

·       For commissioned TV productions, the broadcaster can handle enabling the report, provided they have a licence.

·       If you work as a freelance Green Consultant on behalf of a production company, the company can handle enabling the report, provided they have a licence.

·       If you are collaborating with multiple people on a production, it is sufficient for one person to have a licence to enable the report.

·       For funded or independent productions, a licence is usually required. However, when applying for funding, the licence costs can generally be included in the budget.

Typically, clients, broadcasters, or production companies purchase the licence and enable the report via the collaboration features. However, you can also purchase licences yourself; please use our order form for this.

Simply use our order form! You can find an overview of the licensing models here. For a customised quote, please contact info@greenshooting.de.

You can enable reports if you

·       created the production yourself or are the owner of the production;

·       have been invited to collaborate on a production;

·       are the group admin of an organisation assigned to the production;

·       are a member of the company group of an organisation assigned to the production and are authorised to use your organisation’s quota.

In any case, you need a report quota, either your own or one provided by your organisation.

Yes, you can create and download as many versions of a report as you like, even if you have made changes to the TARGET or ACTUAL data.

For productions created before 12th November 2023, the reports are already enabled. They are permanently available free of charge. This also applies to productions that may have been imported from previous software versions.

The TARGET report has been available for free download since 1st July 2024. The ACTUAL report requires enabling; this also includes a comparison of TARGET and ACTUAL data.

You have likely already set the production status to “Completed”, which makes both the production status and the enabling checkbox read-only. Try enabling the report under “Report” instead of in the Core data. Alternatively, change the status in the Core data to “In progress” to enable the report. You can then set the status back to “Completed”.

No, enabling a report cannot be undone. Therefore, only enable reports for real productions, not for test data!

·       First, check whether any organisations or individuals involved in the production have a licence and can enable the report for you.

·       If your company has a Corporate/Corporate Starter Account, ask management to have the quota topped up.

·       As the administrator of a Corporate/Corporate Starter Account, please contact info@greenshooting.de.

·       As an individual user or micro-enterprise, simply use our order form or contact info@greenshooting.de.

Under “My group”, you can view the members of your group. There, you can use a user’s “Edit” button to grant or revoke permission to enable reports.

You can view the remaining quota under “My account”, “My group” (for group admins only), or when creating a new production under “Report”, as well as for an existing production under “Core data” and “Report”, provided you have not yet enabled that production.

In the Core data of a production, under “Report”, you can see who enabled the report for that production, unless you did it yourself.

In the production overview, productions with an enabled report are marked with a green report icon with a notched corner. Additionally, in the Core data of a production under “Report”, you can see whether (and, if applicable, by whom) the report was enabled.

Yes. To do so, click the “Download” button within the “Report” tab and then on “Data collection”. CSV stands for “comma-separated values”, which is a common spreadsheet format that you can open with Excel, for example.

The various reports are required to comply with the Ecological Standards and must be submitted to broadcasters or funding institutions at specific times.

·       The TARGET report serves to comply with Criterion I.3 of the Ecological Standards (“Preparatory Carbon Footprinting”).

·       The ACTUAL report serves to comply with criterion I.4 of the Ecological Standards (“Subsequent Carbon Footprinting”). If necessary, clarify whether the ACTUAL report alone or the combined TARGET/ACTUAL report is required.

·       The final report serves to comply with criterion I.5 of the Ecological Standards (“Final report”)

The relevant date is generally the date on which production was commissioned or on which a grant was applied for. The Ecological Standards in the November 2025 version have been in effect since 1st November 2025. If this is the version applicable to your production, please also use the final report dated November 2025. For more information, visit green-motion.org.

With this step, we aim to further promote climate protection in the audiovisual sector and make it easier for filmmakers to submit applications to clients and film funding agencies. This will particularly benefit smaller production companies and independent filmmakers, as the TARGET report is generally a requirement for funding applications.

KlimAktiv gGmbH is funded exclusively through the sale of software tools. We are working to make the Green Shooting Calculator even better. Our product offers optimised user-friendliness, emission factors calculated scientifically and to the highest standards, and software development of features that make your work easier. This incurs costs that we must cover. We continuously invest in the tool to enable additional features. Please feel free to share your ideas for additional features with us at info@greenshooting.de.

No. While the ACTUAL report must be enabled to fill out and download the final report directly within the Green Shooting Calculator, you can also download the template for the final report in the version applicable to you for free at green-motion.org.

Corporate (Starter) Account & Dashboard

A company group is created for Corporate and Corporate Starter accounts. User accounts belonging to employees of the organisation can become members of the company group. KlimAktiv assigns these accounts after registration or after a licence is purchased. Only permanent employees of the organisation should become members of the company group; not however, for example, freelance Green Consultants with limited project time.

View assigned productions: Users see the “Assigned productions” list in the main menu. It contains all projects that have been assigned to their organisation under “Permissions”. This allows access to the reports for these projects, but not to the recorded activities or Core data.

View dashboard: Users can view dashboard of their organisation.

Enable reports: Users can use their organisation’s report quota to enable reports. Note: With this permission, the entire quota is available to users; individual limits are not possible!

The group admin of an organisation with a Corporate or Corporate Starter Account manages the company group. They can grant the following permissions to individual users:

·       View assigned productions

·       View dashboard

·       Enable reports

Group admins automatically have all of the above rights. Additionally, under “My group”, they can view the members of the company group, assign individual permissions, view a list of their members’ productions, and transfer selected productions of members within the company group to other users.

The group admin is typically one person (or multiple people upon request) and is authorised as such in the system by KlimAktiv. They should regularly review the company group (under “My group”) and promptly notify KlimAktiv of any changes (e.g. employees who have left the company).

The dashboard displays interactive graphical data analyses of all productions assigned to your organisation. The metrics are derived from the cumulative results as well as the entered Core data. The more completely the Core data has been filled out, the more detailed and accurate the metrics can be. They can be filtered by numerous criteria. In addition to numerical KPIs, the dashboard displays pie charts of emissions by genre, by production process, by medium, and by type, as well as a bar chart showing emissions per year.

The dashboard is included in all Corporate and Corporate Starter accounts. Micro-enterprises or individuals can add the dashboard for a fee upon request. In this case, it displays their own productions rather than assigned ones.

The group admin of a company group always has access to the dashboard. They can also grant access to other users in their group (under “My Group”).

Ask the production owner to add your organisation under “Permissions”. For productions you have created yourself, you must always add your own company as well! Also check the filter settings at the top of the dashboard.

Dashboard visibility can be granted or revoked by your company’s group admin. If you do not belong to a group and would like a dashboard for productions you created yourself, please contact info@greenshooting.de.
